Office Assistant — Seaport FCU

The Office Assistant will provide support to the staff of the credit union. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, time management, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Office Assistant must have the ability to work independently on projects, from conception to completion. The Office Assistant must understand and practice the importance of discretion and confidentiality.

Essential Duties and Responsibilities:

  • Provides administrative support to the credit union staff including but not limited to maintaining executive calendars, appointments, and written or verbal correspondence.
  • Answers office phone and directs calls to the appropriate individual.
  • Serves as the first point of contact for CEO.
  • Maintains the supplies of the office.
  • Assists with scanning documents, faxing and making copies for Management.
  • Pickup and distribute office mail, as well as send out office mail.
  • Assists with communications to and from the Management Team.
  • Maintains contact information of Management Team, Board of Directors and Committee members.
  • Assist in the overall event planning for credit union business meetings, such as board meetings, supervisory meetings and other meetings and other events as designated that are held at the credit union.
  • Maintain expense reporting for staff and volunteers.
  • Responsible for the upkeep of the office/breakroom/storage areas.
  • Assists the administrative team with preparation of meetings including board meetings, management meetings, budget meetings, forums, Etc.
  • Assists with planning of approved travel or conferences.
  • Assists in planning and providing support for the annual board of directors’ strategic planning meeting.
  • Participates in available credit union self-development education programs and required compliance courses through self-study, online university, and the credit union’s training department.
  • Assists administrative team with assignments in support of the Credit Union’s objectives.
  • Performs other duties or special projects as required or as assigned by CEO.

Qualification Requirements

Educational/Training Requirement:

  • Associate or bachelor’s Degree Preferred
  • High school diploma or GED

Experience:

  • A minimum of 3 years’ experience required

Knowledge, Skills, and Abilities:

  • Highly proficient in Windows and Microsoft Office (Word, Excel, and PowerPoint, Outlook, Teams)
  • Detail oriented
  • Excellent communication and interpersonal skills
  • Ability to multitask
  • Ability to work independently
  • Business casual attire is required
